QuickBooks Online vs Xero in Canada

The two big cloud ledgers. Xero is cheaper at the middle tier and includes Hubdoc. QuickBooks has Canadian payroll built in and more bookkeepers who know it.

The short answer

Allison has worked in QuickBooks for years, mostly the desktop version. Our QuickBooks Online and Xero details come from each vendor's Canadian pricing page, not hands-on use.

What tips the decision

Payroll. If you want payroll inside your accounting app, QuickBooks is the only one of the two that offers it in Canada (as listed). Note that Intuit says automatic workers' comp tracking only covers QC, ON and BC, so Alberta WCB is still manual. Xero users typically connect a separate Canadian payroll service. See best payroll software for Canadian small business.

Invoice volume on the cheap plan. Xero Starter caps you at 20 invoices a month. A trades business doing more than one job a day will need Standard (C$60), which is still cheaper than QuickBooks Plus (C$110).

Receipts. Hubdoc comes with every Xero plan when connected, which saves the US$12/month it costs on its own. QuickBooks includes its own receipt capture. Heavy users of either often move to Dext anyway.

Inventory and locations. QuickBooks Plus tracks inventory and up to 40 classes and locations, which suits restaurants, bars, hotels with several revenue centres, and multi-crew contractors.

Your bookkeeper. Ask before you choose. Paying a bookkeeper to learn your software costs more than the price gap.
