FreshBooks vs QuickBooks Online: the Canadian view

Both are good. They're built for different businesses. Here's how to tell which one is yours, with Canadian prices checked Nov 2, 2026.

The short answer

Our reviewer, Allison, has worked in QuickBooks for years (mostly the desktop version) and has used FreshBooks for receivables only.

What they cost in Canada (regular prices)

Both companies run big introductory discounts. On Nov 2, 2026, FreshBooks showed 80% off for 4 months and QuickBooks showed 90% off for new "Buy now" customers. Budget for the regular price, because that's what you'll pay in month five.

Prices exclude GST. QuickBooks' Essentials plan also exists, but its regular price wasn't shown on the page we captured.

The differences that actually matter

1. How each one counts you. FreshBooks limits plans by billable clients, and that includes archived clients. A trades business that does lots of one-off residential jobs can outgrow Lite (5) and Plus (50) quickly. QuickBooks limits by users instead, so a business with hundreds of customers and one person in the books is fine on a small plan.

2. Inventory and cost of goods. QuickBooks Plus tracks inventory, purchase orders and cost of goods. FreshBooks' Canadian pricing page doesn't list inventory tracking. If you sell product (liquor, retail, parts), that alone points to QuickBooks, or to a POS that tracks stock and posts summaries to your books.

3. Payroll. QuickBooks sells payroll as an add-on that calculates CPP, EI and income tax, files T4s and creates ROEs. Intuit's page says automatic workers' comp tracking is only available for QC, ON and BC, so Alberta WCB still needs a manual step. FreshBooks offers payroll through a partner (PaymentEvolution). Many Canadian businesses run payroll in a separate app like Wagepoint no matter which ledger they use.

4. Departments, locations and jobs. QuickBooks Plus tracks classes and locations (up to 40), which suits a hotel with rooms, restaurant and lounge, or a contractor tracking divisions. FreshBooks tracks project profitability on its Select plan.

5. GST/HST. Both track the GST/HST you collect and pay. QuickBooks says it calculates and tracks sales tax so you can file with the CRA, and its payroll add-on files payroll taxes online. Whichever you pick, set up the right tax codes on day one, because fixing a year of wrong codes is expensive. For bills you pay, the CRA requires more detail as the amount rises ($100+ and $500+ thresholds) before you can claim input tax credits.

6. Your accountant. Ask your accountant which one they prefer. In Canada, many bookkeeping firms are set up for QuickBooks. FreshBooks includes accountant access from Plus up, while QuickBooks Lite has none.

Bottom line

FreshBooks is the friendlier invoicing tool. QuickBooks is the more complete ledger for a business with staff, stock or departments. If you're unsure, pick the one your accountant uses. Changing later costs more than either subscription.
